State Of The Art Mailer – An Insider Look About Traffic Generations

In my opinion, State of the Art Mailer (or SOTAM) is effective and, more importantly, fun safelist to start with.

A combination of the most effective list mailers is the best way to generate substantial traffic. Using SOTAM for traffic generation is a solid starting point.

You will gather subscribers with SOTAM traffic (and from other list mailers for more effectiveness) here. With AWeber you can split test the best variations of your sign-up call-to-action. This will maximize your conversion rate.

3. Generate Credits With The Help Of A Virtual Assistant!

Before in sending your email template to 3000 members, you should maximize your credits to 3000 credits for maximum traffic.

You can spend the time clicking away to gain credits yourself. It may sound easy, just clicking away, but it can be very dragging and tedious work…

Tips:

  1. You should use a separate email or Viralinbox account only for SOTAM and other viral mailers.
  2. You can open multiple windows from your email account (CTRL+left click) to “claim credits”. This is not possible from within the SOTAM account website because they allow only one window at a time.

The time waiting and clicking will probably just burn out all your energy (my VA Jomvie can attest to that!).

4. Create A Catchy Email With A Bit.Ly Shortened Link For Link Tracking

In our case, since my website talks about OUTSOURCING, we have created a catchy and inviting title.

To be able to monitor and track the traffic, we used bit.ly’s shortened link to track all updates.

Create your own bit.ly account (or use ViralURL for more synergyzing effects). Its sole purpose is to track and monitor your visitors (and potential subscribers!) clicks.

5. TIME TO SEND YOUR FREE EMAIL TEMPLATE TO 3000 MEMBERS!

  1. Subject/title
  2. Final draft email (body of email)
  3. Shortened link

6. Now Your Email Readers Will Sign Up To Your Aweber List!

The reason why you need your squeeze page with an AWeber signup form is to expand or increase your list with the help of State of the Art Mailer traffic.

Once they open our email and click the embedded shortened link, they will then be redirected to your landing page. And with the help of a catchy title and email, they will now register using your sign-up form and join your list.

Either on free sources like Flickr or stock photo banks like Fotolia. As taught by SBI!, a SiteSell Virtual Assistant also optimizes all pictures for size and keywords and uploads them into Site Central.

He also takes care of placing the illustrations into your webpages.

Format Articles in HTML and in Site Central

Simply write down your article or Keyword Focussed Content Page (KFCP) in Word.

  1. Your assistant can change the format into HTML.
    (This useful site can help your assistant to do that!)

  • You cannot build too many or automate the process or you’ll get whacked by Google

Examples for the occasional high quality blog comment link:

Your VA can research recent high traffic and high quality blog posts, for example with Google Alerts, and propose the best posts to you. You record your answer, he transcribes it and you are done!

How Do I Send Audio To oDesk For Transcription?

A question about using oDesk for Transcription was sent to us: how do you send (sometimes big) transcription files via oDesk back and forth for transcription?

Since we work with a transcription assistant, I asked my main VA to put together some research about file transfer within oDesk.

Here are the options you have at your disposal:

Send Audio to oDesk via oDesk Messaging Interface

  • You can send large files to your oDesk workers within oDesk messaging interface.
  • oDesk has recently added another feature: you can directly share large files via Dropbox.

  • Simply click ‘share via Dropbox’, sign into your Dropbox account and send it to the freelancer via oDesk messaging interface.

Pros:

  • Process is simple and easy.
  • You don’t have to share your personal email with your contractors.
  • Your assistant doesn’t have to own a Dropbox account.

Cons:

  • You will actually have to upload the file to your Dropbox before sharing it with the contractor.
  • Uploading of the file can take up to several hours based on the size of the file and your internet connection speed.

 

Send Direct Download Link Via Dropbox

  • You can also send audio to oDesk by simply uploading any file to your Dropbox.
  •  Go to your hard drive, right click the file and click ‘Share Dropbox Link’.

  • As soon as you click, you will see a Dropbox notification in the system tray.

  • As mention in the notification bar, a link has been copied to your clipboard.
  • Just sent that link to your transcriptionist either by oDesk messaging interface or any other email.

Pros:

  • Process is simple and easy.
  • You don’t have to share your personal email with your contractors.
  • Your assistant doesn’t have to own a Dropbox account.

Cons:

  • You Must have Dropbox installed on your computer.
  • You will actually have to upload the file to your Dropbox before sharing it with the contractor.
  • Uploading of the file can take up to several hours based on the file size and your internet connection speed.

Use Jing to Share Files

Jing is an online screen recording tool which allows you to share multiples files to anyone with a simple URL.

  • Click here to download Jing free of cost.
  • Install Jing on your computer and start the program.
  • Simply select the screen resolution and click on ‘Capture video’.

  • Once the recording is finished, click to share it via screencast.com.

  • As soon as you click there, the file will take some time to upload and then you will be notified to view the file on Screencast.com.

  • Click ‘View on Screencast.com’. Simply copy the link and send it to your transcriptionist.

Pros:

  • You can use video screen recording.
  • You don’t have to share your personal email with your contractors.
  • Your assistant doesn’t have to own a Screencast or Jing account.

Cons:

  • You can only record videos up to 5 minutes.
  • Only audio files are not supported.
  • Your transcriptionist cannot download the file directly. He/She has to depend on the streaming media which is sometimes very slow.

Mastering The Art Of Having A Self-Motivated Virtual Assistant

Summary:

  • Every entrepreneur wants to reach the level of mastery with outsourcing and to have high skilled and motivated virtual assistants.
  • There are certain steps that you can take to improve the performance of your self-motivated virtual assistant.
  • You can also give your virtual assistant access to your financial account so that he can pay on behalf of you, but this is something very critical and you should build a lot of trust and take necessary measures before you decide to do that.

Start of the Interview:

So here we’re talking really about a level of mastery. That’s the level of Tim Ferriss or someone who has done working with his self-motivated virtual assistant for at least 1 or 2 years. This is really long term stuff here. Yeah?

If he’s working on himself and if he implements all the work without asking in a nice way and from time to time he gives his own ideas; you can give him more responsibility. You can let him research training materials on his own.

You can assign him time for a paid training. You say, “Okay, you work 20 hours per week for me. Three hours per week, you read your E-books. And if you’re finished, you tell me and you propose other E-books to read.” They’ll tell you “Okay, you can do this.” 

Even further down the line, you can him a budget – a money budget for his own further training. One example I do at the moment where I give my assistant his own budget is 

  1. he has his own Mechanical Turk account which I set up so that it works outside of the US as an employer.  
  2. Then I have prepaid this with funding and he can use it to buy mechanical Turk work on his own terms as needed for my projects. I leave that money up to him. It’s something like $20 and it holds out for quite a while.

The other example is I have prepaid an account with Copyscape for premium search and he can use it as he needs it. What I don’t recommend is, of course, giving your virtual assistant access to your credit card information.   

You mentioned an idea of how to pre-fund money for your assistant before?

I said that I will only give my main assistant- my number one off my bunch, of course- access to my money. I don’t know if you said that already.

You didn’t say it?

Francis:

I didn’t say that but I do it like that also.

Yeah.  Because he’s the most trustworthy so it is enough that the most trustworthy has access to money or whatsoever.

And if I give money out, I would only either create a new Paypal account or give because on Paypal when you have a business account; I don’t know you have a business account?

Francis:

Not yet.

Stefan:

Because when you have a business account, you can have like sub-accounts and give people access to budgets.

For example, I have a thousand euros or dollars on my account and I can’t give. It’s like in Dropbox, you add people per email to your team, so to say.

Francis
Francis:

Yes.

So you give that person a budget of $100 and he can pay from your account. The money is on your account but he can pay via his account.

Francis
Francis:

It’s very interesting. Is the business account for Paypal free?

stefan employer interview
Stefan:

Ah yeah, it’s free. It’s even cheaper than the basic account.

Francis:

Okay, this is a big recommendation. I have to check it out.

I think, you save a little bit transfer fee, 1% or something. I think for private accounts, it’s 2.2% and for businesses, 1.7% or something. You save even a little bit of money. They were tiny amounts, in cents, but it has more functionality.

To create a business account, you need your business identification or your business data and you have to send that to Paypal.

Francis:

Okay. So the requirement is that you have to have an established business with, probably, a tax number or something like that.

Exactly.

Francis:

So this I haven’t set up yet. This year, I will have to set it up because the income from my website surpasses the tax-free income that you are allowed to have in Germany.

And so this year, it’s definitively on my to-do list. And when I have this, I will probably also set up a premium business Paypal account.

Yeah, exactly. So in this way, I know of other people who did it this way or even further. Some people even gave full access but only for only having money on that by the money that comes in, you know, be of sales…

Francis:

Yes.

So you can never lose money.

Your assistant has only access to the money that came in through sales but never what’s on your credit card. 

So it’s a possibility.

A good application of the funding you give your virtual assistant is that you allow him to buy premium stuff like E-books that costs money or premium services.

Well, anything that costs money on the internet that you allow him with a certain budget as long as it solves your problem. It would be a good idea though that every purchase he has to justify somehow in his daily reports especially at the beginning.

Francis:

Exactly. I remember reading something from Tim Ferriss – big outsourcing master – who said that his personal assistant who schedules his flights and organizes his calendar and stuff like that.

If she has to make a small purchase below $100 then she doesn’t even need to ask. Actually, I’m not sure if it was Tim Ferriss himself or one of the persons in his book he interviewed.

Well, it was about his forum where he had the food supplements and he had this problem with his customers that if they call customer support and complain about something.

Then his assistant would have instead of asking for every customer that complains. Thanks. For every customer that complains, instead of asking him, his assistant was allowed to just to settle the case. So he saves time. 

It doesn’t save him money because he would pay the customer back anyway but at least he reduces his incoming emails by 80% or something.

Francis
Francis:

Yeah. Because he makes more money with his free time than he would make up and back complains.

Yeah and he would pay back either ways so just fix the problem. That’s the idea. Just fix the problem. Well I think just a little back to the previous topic…

Francis
Francis:

Yes?

I think, maybe that idea comes from the book – from the 4-Hour Work Week. The idea to “This is the budget, fix the problem.”

Francis
Francis:

Yeah but I think since outsourcing in the original E-book, “4-Hour Work Week”, is the last example after definition, elimination, automation and outsourcing. Outsourcing is the last part.

You are supposed only to do outsourcing if you have already defined what you want, set your goals. If you eliminate everything which is waste; if you automated all that is automation; then only then, you would take yourself out of the equation by outsourcing.

Many people who dream big don’t understand the whole philosophy of the book and only see the outsourcing. They see the daily job and say “Well, I hire an Indian guy for that.” This is probably a little bit naïve and is doomed to fail, if I can say so, one way or the other.

I think, outsourcing already is a very advanced topic. And although it’s very charming because everyone loves free time and free results, there are some requirements to be met before you can actually start with outsourcing.

In the scope of our interview, the hiring process has to be right, the trust problem has to be solved and the work ethics has to be defined at the beginning. 

And that’s already when you are ready to do outsourcing. So we are really talking about some lessons that have to be learned. And that’s why we put them all into this interview so that other people have no problems to learn them.

If you learned all these lessons then you can have nice 4-hour work week lifestyle – live under the palms and not do anything while you receive money.

Yeah. Everyone wants it. But if it was easy, everyone would have it. Since not everyone has it, it’s obviously not easy.

How To Use Screen Recording For Effective Instructions For Your Virtual Assistant

Use screen recording for video instructionsIf you want to have maximum efficiency when working with your virtual assistant, three tools are absolutely essential for your success.

  1. A headset
  2. Screen recording software with voice recording
  3. And a shared Dropbox folder with your assistant

You know the saying: “An image says more than a thousand words”?

Well, a video recorded with a screen recording software and voice instructions says more than a million pictures.

Save time and record your instructions via video

Instead of losing time and thinking long and hard about writing and formulating instructions via email, why don’t you just show your virtual assistant what you want from him?

It is much easier and much faster! Here’s how:

  1. Open your computer
  2. Go to the issue you want to show your virtual assistant. It can be a mistake in a file, a miscalculated field in an Excel-sheet or anything else where a virtual assistant might need additional instructions.
  3. And then record your screen and make video instructions on the fly.

Imagine your virtual assistant would not be sitting on the other end of the globe but right beside you looking over your shoulder, as you point, click and show exactly what you want.

That’s how you should talk when you record your video message.

It is most efficient to show your assistant if he has made a mistake. Point out exactly how you would like the solution to look like. This way he can efficiently work on doing things better.

Over time, your VA will anticipate your wishes more and more.

Video instructions communicate your emotions

Recording a screen video profits from many aspects of communication which are more effective than email instructions.

  • The tone of your voice lets your assistant know if a task is very urgent or not
  • Your VA will know if he has made a mistake and if it really makes you angry or is not such a big deal

For many freelancers working for you it is very important that they feel they haven’t upset you.

It is that extreme.

It’s that much more important to communicate right.

Example: Instruct your virtual assistant to illustrate your web pages

If you use a computer screen recording you can simply click and point on a page and explain where you want your virtual assistant to place a picture and what you want the picture to show.

You can go through the work diary together with your assistant, if you have hired him on oDesk, and discuss different screenshots of his work directly together with him.

Learn skills from video instructions made by your VA’s

A neat side effect is that you are easily able to explain technicalities to your virtual assistants. In my experience, many data entry specialists are wizards when it comes to Excel-sheets and Microsoft Office.

If you are interested in these skills, you can simply ask your virtual assistant to use the same screen recording software to teach you there skills.

Leave your virtual assistant no doubt

Do you want to make a 100% sure that your virtual assistant understands the instructions?

The bad way is to write him an email with the instructions and ask him if he has understood everything…

He will always answer “YES!”

Here is a more effective way:

  1. Start computer screen recording your instructions, pointing, clicking and explaining as you go.
  2. Then sent the video to your assistant and ask him the following:

“Do you have understood everything well?

Please make a document with instructions how you have understood it.

You can use screenshots from my video to illustrate what you have understood.”

There are several advantages of teaching your assistant instructions and skills this way:

  1. You are making sure your VA understands everything well.
  2. You now have a well formatted set of reusable instructions at your disposal that you can send others.
  3. Indirectly get important feedback about your leader skills. If your instructions are very poor, you will often get the feedback from your virtual assistant that he hasn’t understood everything completely.

Passively, you will adapt your explanations to your VA.

Everyone wins:

You are a more efficient employer and your assistant is more efficient worker for you.

Your instructions can be valuable for others

Sometimes, your instructions can be of further use to you. If you can re-use them more than once, convert your computer screen recording to a YouTube video – or outsource this task to your personal assistant, too!

Recording a screen video is probably the fastest way to create online videos possible, especially if you do not want to show your face to the internet.

How does my use of a free screen recording software look in my day to day work with your virtual assistant?

I use it, record videos, share them via Dropbox with my virtual assistant and “forget” about them.

I know that my VA will take the time to go through each and every one of them, writing me feedback emails as he does.

I use my recorded notes to

  • share and discuss ideas for new concepts and new projects,
  • ask and give feedback and instructions
  • and to show specifically what I need.

In fact, my VA has to deal with a lot of those recordings. 🙂

I would never be able to write as many detailed emails as I am doing instructions via recordings.
