Has Your Personal Assistant Helped You Decorate Your Room or Chose the Theme of Your Room?

by Francis
(August 08, 2012)

has-your-personal-assistant-helped-you-decorate-your-room-or-chose-the-theme-of-your-room-21663311
My personal assistant helped me choose the style of my room

One year ago, I changed flats and I moved. I wasn’t sure which color I would paint my walls in.

The tapestry which was there before was a bright green and not so comfortable to live in. But I had no ideas about how to theme a room and which colors would be good.

So of course, I turned to my personal assistant Kristine (she is from the Philippines and we were working together at that time) and I asked her if she can give me advice about room decoration.

So here is what she did:

She did a very quick internet research and pointed out different colors and themes for a room. Well, this was inspiring enough – but she also wrote an article about different colors.

Read my outsourced advice about choosing a theme for your room

choosing-bedroom-colors-250px

or

I don’t know how much of it was researched from the internet and how much she wrote by herself, but that doesn’t matter. The only thing what mattered is that I had great advice about:

  • which colors to choose
  • what colors represent a warm theme
  • which colors are cool
  • which colors make the room look bigger or smaller.

All very basic stuff and for some of you people it might be common sense, but for me it was new and I didn’t have to think about it. That’s the most important thing.

So this is a useful job a personal assistant could have done.

Any questions?

Are you thinking about which colors could be used for what room or do you need tips for gardening or anything that you are not an expert in?

Anything could be solved by some good internet research by your personal assistant?

While you stretch your legs out on the balcony and enjoy the sun, your personal assistant is your faithful helper in the shadows. In the evening, you get an email with all the research so that you can take the best decision for your personal life.

This is just one small example of what a well-trained personal assistant can do for you, but I think it was pretty illustrating one.

It’s clear that you don’t need to hire a separate person only for this task, but if you have a personal assistant already ready for your questions then even smallest questions, uncertainties and ideas can be discussed with a person of your trust. A personal assistant.

Jul 08, 2014 Perks of an employer
by: Francis

One of the coolest perks of having a virtual assistant is that you can ask anything and make them do things even outside their expertise 😀

as a VA myself, it is also a nice feeling to get in this kind of stuff as it implies that your employer is asking for “my own opinion” and it’s also a good diversion from serious tasks =)

Is China the Outsourcing Country of the Future?

I read an interesting article that claimed to predict that China would be the No.1 outsourcing country in a few years of time.

From my personal experience I do not think this is necessarily the case. Nowadays, countries like the Philippines, India or Pakistan are strongly involved in outsourcing.

That’s not only because the work labor is cheaper there than for example in the USA, but especially since the culture of the people doing outsourcing work there allows for great cooperation between western and eastern cultures.

China is not the cheapest alternative – not anymore

Personally, I have only worked once with a Virtual Assistant from China. I cannot give you a representative overview of how it is working together with Chinese providers. From my research and also professional experience with Chinese companies, I know that China is not necessarily far lower in prices as western countries (any more). Of course, many things cost less in China. Hourly rates might be lower, and you may be able to get some (mostly physical work) done faster.

But from what I experienced in business and from the discussion with colleagues, I have the feeling that working together with Chinese providers leads more often to misunderstandings than working together with Philippine providers.

Disadvantage of China – language barrier for English

Replica Porsche Tshirt
One aspect that dealing with China that sometimes they don’t take intellectual property very seriously and it has a spelling mistake too 🙁

Actually, as of 2016 and after my first stay in China, I know for sure that the language barrier is a big problem in China.

Of course, I can’t speak for all of China when I was only in one “smaller” city, Shenyang, in the north of this huge country. Things are completely different in Shanghai or Beijing.

(Just like the language skill levels in the Philippines are completely different comparing Manila vs smaller islands)

Also I feel that the overall knowledge of English is more compatible with western cultures in other countries than China.

Disadvantage with working online with China – limited access to Google tools and websites

During my stay in China, I was painfully reminded that Google is partially blocked there. If you own a website, or even for your emails, it is very probable that you are using a great deal of google services. Same for Dropbox, which also was not accessible.

It’s not that there are not alternatives (Bing). Just that the best and proven tools for working with Virtual Assistants need some exceptional workarounds when working with Chinese VAs (or when outsourcing from China).

To me, it was annoying to say the least.

More Chinese VA candidates don’t mean they are the best fit

So even if there might be many more Chinese freelancers in the future, this still does not automatically mean that china will be the outsourcing country of the future.

There are many other factors which we will have to keep in mind.

An underground water cave at Benxi China
An underground water cave at Benxi China

Factors like:

  • communication skills
  • compatibility between the employer and the virtual assistant
  • pay rates
  • transparency

The sum of all those factors let me question from my personal experience, if China is indeed the outsourcing country of the future.

As for now, I would focus on providers from the Philippines, India and Pakistan if you want to be successful with outsourcing today.

You will be able to flexibly expand your team to include more providers from China. If that indeed is the way of the future.

What is your experience with working with Chinese VAs?

Do you know how it is to work with Chinese freelancers?

Do you have your own opinion on this?

Always feel free to leave us a comment.

transparency
by: Kittycat Hm, I’m not sure what you mean by “transparency”… How does the “transparency” in China not make it a advised country for outsourcing? How can a virtual assistant be transparent?
Re: transparency
by: Francis The best way for a virtual assistant to be transparent is to use a system that truthfully shows what work he does. One possibility is to use oDesk’s implemented team application. Another possibility is to use a productivity tracking software that shares when you have been working and when you haven’t.

Outsourcing capital?
by: John Personally, I doubt that China is going to be the next outsourcing capital in the future. For one reason—language barrier. I do not doubt their skills and intelligence with computers and other technologies. But, one player for outsourcing is communication. But I do not dismiss the topic that probably they will be one of many outsourcing capitals around the globe.

Transcripts Just as Good as Your Spoken Word – Not Possible without a Virtual Assistant

by Francis
(August 02, 2012)

to-do list of a virtual assistant

Have you tried using transcription programs to record your spoken word?

Are you really happy with the results?

I often end up editing and correcting more mistakes from the program which takes me longer than if I just would have written it myself.

If you really want the transcripts just as good as your spoken word, then you should think about hiring a virtual assistant to do transcription work for you.

Aug 27, 2014 Yup, I tried that 😀
by: JomvieMust I say that this experience had made me skip a beat for awhile since I am not used to hear my voice and I am not even used to talk out some topics while recording. But, all in all, it was a good experience~~at least I can say, “Hey, I tried that!” 😀
Aug 30, 2014 Was it useful? Would you do it again?
by: FrancisHappy to see it was exciting for you. :)I have found you gain confidence with being comfortable speaking longer and complicated explanations into a recorder. (Not as effective than face to face conversations though.)Is this a skill that is useful to a VA? If yes, why?Time could be saved for an employer, if he can listen to voice mail instead of reading on the go.

Thoughts…?

Sep 01, 2014 Collecting more confidence in recording my voice 😀
by: JomvieI was just getting warmed up on the first few minutes, so I sound like a bit shaky, and yes, I gained confidence in the middle of the topic. In my case, as a VA, it will probably be useful in giving out instructions if written instruction is no longer effective.I am not yet confident in talking out my thoughts and ideas through recording, but I will try 😀
Feb 20, 2015 Stepping Into the Footsteps of Each Other
by: FrancisI have to agree, Jomvie, that I also found it very enlightening to turn into virtual assistant for a few hours. I think that this sort of exercise of expanding your comfort zone and trying something new that makes you really make progress with understanding each other. With this understanding comes a newly learned appreciation of each other’s workload and a much better compatibility in working together.I wonder how many other employers try doing the task themselves that they outsource. By the way, I have written my experiment of doing transcription work here.

The Best Tool for Free File Sharing Online with a Big Team of Virtual Assistants That You Should Use

by Francis
(August 03, 2012)

online file sharing/cloud services

When working together with virtual assistants, it often is necessary to send around big files back and forth and the easiest free file sharing system online that I know of is the Dropbox.

This free service makes possible to share in real time files of much bigger file size than your mailbox attachment could ever handle.

You can use them for recorded video instructions or to share the most actual results from your cooperation with your virtual assistants.

Why not saving time and trying to do that now.

Business Ethics: Did You Make Bad Experiences in Your Own Company With Outsourcing?

by Francis
(August 04, 2012)

Outsourcing is a cheap solution to get things done and can be very effective. It also can be very frustrating.

Were you let down by the work outsourced to your freelancer employee?

Or, as a freelancer working online, did you make bad experiences with a “virtual” employer?

Sometimes, you cannot express criticism directly at your workplace out of fear of the consequences (social pressure/getting fired).

We invite you to send us your stories from your outsourcing experiences! We’ll add our opinions and advice to help you out.

Are there any oDesk shortcomings?

by Francis
(August 04, 2012)

odesk, the best outsourcing platform

Are there any reasons not to use oDesk as an outsourcing company?

Are there any oDesk shortcomings?

I am talking about the advantages of using oDesk all the time and it is pretty obvious that I am pleased with the company as a whole, but there is one big shortcoming for me as an employer that comes along with using oDesk.

The price you pay!

Every transaction and every payment you pay to your virtual assistants, oDesk keeps 10% of it as a cut.

If you use oDesk over years and long time, this cost will add up considerably. However, compared with many other outsourcing companies, you do not have any initial cost to sign up for this service. It is free of charge to sign up and if you don’t hire much, you don’t pay much.

In the end paying 10% on every transaction for oDesk is in my opinion a pretty fair deal for the advantage of using oDesk’s team management features.
All in all, I think it is the best place to manage and keep long term virtual assistance.

Time Tracking and Screen Recording for Virtual Assistants – All in One Place

by Francis
(August 04, 2012)

odesk team room, the online time tracking software

When you work together with virtual assistants, it is important to keep track of the time worked and the quality of work.

The best way to do that is to use time tracking and screed recording software on the end of your virtual assistant.

If he is really contracted with you, you will need to ask him to install appropriate software on his end.

Or if you would like it to be really easy, just hire a virtual assistant on oDesk.

ODesk comes pre-equipped with the time tracking and screen recording software that automatically records and documents the time worked, the quality of work and the money paid for that work.

This software features are enough reasons to manage your work over the oDesk platform.

And although the Odesk system is extremely reliable (I used it for over 4 years), from time to time you might find that you can’t login into your odesk Team Room, due to maintenance or any other problem.

Fortunately, Odesk has a pretty big online knowledge base. I researched one article that might be helpful if you are experiencing this problem.

Don’t Get Too Dependent On Your Virtual Assistant

by Francis
(August 15, 2012)

a businessman in deep thoughts while seriously looking on his computer screen

Your virtual assistant can be a lot of things for you and your business:

  • An asset
  • A great help
  • A time saver
  • An adviser

However, there’s one thing your virtual assistant should never become, if you don’t want to become vulnerable: something you depend on (and expect will be around forever).

I am very happy to have my VA, and our cooperation is very smooth over the years. Would I have to hire a new VA for whatever reason, sure, I would lose some time and money, but my business would not take a plunge from one day to the other.

A good attitude to have when outsourcing your work to a virtual assistant is:

“He is a great help, and is doing things like I showed him. I would be able to do it alone, but it would take more time.”

Always document every step of cooperation with your virtual assistant, making backups often (easily done with this free tool).

An Interesting Thing About Hiring A Virtual Assistant On oDesk

by Francis
(August 21, 2012)

young virtual assistant lady with a thumbs up while sitting on her workstation

I read an interesting post about how hiring a virtual assistant really helped out an entrepreneur to take care of his customer service.

One thing I read there really resonated with me:

Hiring is an interesting process. One the one hand you have the side of you that wants to find the perfect person for the job and who will benefit the business. On the other hand there’s a side to you that thinks “I really want to help this person out and give them a great opportunity to work for a cool startup”.

The hiring process really can be emotional.

Often, I go with my gut feeling when hiring someone out of a big number of candidates.

How can you know if you picked the right candidate?

You can’t.

But you can trust into each individual, and give each one of them a fresh chance to do well with you.

I won’t lie. Sometimes, you’ll lose time initially finding the right virtual assistant for you. It’s a screening process.

But if you hire one excellent virtual assistant and stick with him, I promise you that it’ll all be worth it!

Giving Your VA the Right Amount of Work is Crucial

by Francis
(August 27, 2012)

use a screen recording software to provide effective video instructions to you virtual assistants

If you choose to hire a virtual assistant full time, be sure to be prepared to keep him busy full time.

It’s not enough to give him any tasks, the tasks must have meaning.

Do you know that there are two things that are really frustrating for your VA:

  1. Getting overwhelmed with work (with you expecting everything to be done by yesterday).
  2. Getting underwhelmed and forgotten (with you expecting your virtual assistant to come up with work on his own).

But boy, is giving instructions daily a lot of work!

I soon found out that I would do anything to shorten my workload that comes from managing my VA.

How to do that, without looking mean and uncaring?

(You should NOT, in any case, be uncaring towards your virtual assistant. He is an asset to your business and success!)

  • Record your thoughts, wishes and instructions with voice recording and screen recording.
  • Show your assistant what outcome you want.
  • Let him know how much time you allow him to research a specific subject on his own, before you expect him to ask you for advice.

For my “ideal helper” VA and me, the cooperation runs smoothly now that we know each other. Without my many voicemails, my VA could not “guess” what I want from him.

Voicemails can be treated like one way telephone calls. Just talk away, but try to keep focussed on what you want from your assistant.

Every virtual cooperation between an employer and a freelancer needs some time to get the right “calibration”.

Using smart tools can heavily cut down the time you need to invest.

It’s because they can no longer provide the finances and leaving them on the losing side of the business. I have no choice, but to accept it.

I was just happy that I can get something out of it—not financially, but the experience so that I can flaunt it in my portfolio.

Nov 30, 2014 Annoying but what can you do
by: FrancisIt’s a shame when an employer needs to cut ties with a good VA just because the funds are running out – although work quality is good. But it’s also a lesson for virtual assistants to try to find out and support the employer with finding the most efficient ways to keep the business floating. Although, granted, this is definitively the employer’s job. What was it that got you hired in this first job? Any tips on what to look out for to get hired?
Nov 30, 2014 About how long it took me to land my first online job
by: JomvieIn my experience, it was long like three to four months and when I thought I am going to be hired–it was just all a scam.Yes, there are employers online who scams your work and will leave you nothing. Like, they will ask you to write an article and after you pass the article, you’ll never hear from them again.Take note, they are very particular–“I want a 300 word post/article” is what they might ask…

So, we should all be wise and vigilant in dealing online.

How to Outsource Using the Dropbox Referral System on Mechanical Turk?

by Francis
(August 28, 2012)

A visitor asked me an interesting question if it would be wise to outsource expanding your Dropbox using the referral system via the crowdsourcing service Mechanical Turk.

While it’s easy to ask hundreds of people to do a simple step for a few cents signing up via a referral link and expanding your Dropbox in the process, but it is against their terms of service. It might even get you banned from Amazon Mechanical Turk.

There are better ways that they are customized and ready to go on this other outsourcing service Fiverr. I have done it and if you want you can easily have it done too.

But, as for me, I doubt I will ever get into freelancing since it requires more technical skills and the price is not for me. So, I’ll stick to a full-time job.

Maybe later in time if I have the technical skills to show off 😀

Mechanical Turk is Awesome. It Creates Wealth in Poor Countries that Need It

by Francis
(July 13, 2012)

It is true that many jobs posted to Mechanical Turk allow workers from all around the world and from poorer countries like for example Bangladesh.

To do additional work and have the opportunity to earn some money that they wouldn’t have been able to earn otherwise.

Is the tedious work that you able to do on Mechanical Turk for little amount of money a blessing in disguised?

What seems to us as ridiculous payments could be acceptable money in other countries, there are many people from for example India doing tasks on Mechanical Turk with enthusiasm.

Does this really mean that they liked the job or does it only mean that they are forced to do the job and do not see any alternative?

Seasonal off and on opportunities to work without commitment are a very positive aspect from outsourcing to Mechanical Turk

by Francis
(July 16, 2012)

Let’s assume that you have a period without work which is fairly short, perhaps a week. You don’t have the time or don’t want to find an extra job for that short. Then perhaps working from home on Mechanical Turk is just the thing you need.

Of course it will be very hard work to do. For example if you do transcription. But if you work focused and hard for one week, you might make a good amount of money. Perhaps even a few hundred dollars.

And if your business picks up again, you will just quit working on Mechanical Turk and go back to your own job. The flexibility that lies in Mechanical Turk is probably one of the reasons why people who do this sort of work online don’t switch over to more regular freelancing jobs.

There is not so much of a commitment. So perhaps this freedom of doing work or not doing work is one of the positive aspects of this service.

Outsourcing changes the way we think about work

by Francis
(July 13, 2012)

The concept of outsourcing – which was invented not much more than twenty years ago – is a huge game changer to the way we think about work.

As compared to the traditional work with all sorts of social benefits, freelancing and doing mini jobs or micro tasks online might seem dangerously different. But perhaps this is the way of the future.

Perhaps work will get more and more flexible, short term and changing.

Where will you be when the future comes?

Will you be a child of the past and try to stay within the same working model that has worked in the past?
Or will you adapt the changes of the future?

I think that outsourcing, doing micro tasks and online freelancing will actually increase the more we go into the future.

What do you think?

Minimum wage restrictions are hurting the development of new jobs

by Francis
(July 13, 2012)

If there are too many rules and too many restrictions about minimum wages, isn’t there a danger that some new projects and new jobs will simply never come out and therefore some people will stay unemployed?

—

Personally, if outsourcing was not as cheap as it is in some cases, I would have never started with it. Without a high income a private person could never do outsourcing. But since outsourcing – independent if it is on Mechanical Turk, oDesk or anywhere – is like it is…

I feel that most private persons in countries like the US or Europe would easily be able to outsource parts of their online work to workers from poor countries. And I think this would be the best form of outsourcing there could be.

People from the more advanced countries will have the opportunity to learn about foreign cultures and working with them. They will profit from having the projects be completed faster and for an adequate amount of money.

And people from the less developed countries would have an opportunity to work for good money, from their perspective, on jobs probably not as bad as other jobs that might be available. Or they might have an opportunity to work if there are no jobs available at all.

Personally, I really think that “private outsourcing”, as I call it, from a private person to another private person, is the way to go if you really want to stay on the good side of business ethics.

The micro tasks on the Turk might increase mass exploitation of workers

by Francis
(July 13, 2012)

Here is an interesting theory:

“What if an institution like Mechanical Turk leads to more and more huge work centers with bad ventilation that only have the computers and connectivity and employ big number of workers from very poor countries?

And what if, in exchange of the internet connection and the opportunity to work, they keep large cuts of the wages?”

Normally, you need your own account to be paid for yourself. It would be interesting to find out if for the very same account of Mechanical Turk several people can log in and work. If that is indeed the case, then the danger from such an extreme scenario would be high.

If, on the other hand, the payment system is secured and personalized, then the question of the large cut of wages for exchange of using the computers is much more open again.

The question is

“Is a scenario like this realistic?”

Is the word “Turkers” a disrespectful name for workers on amazon Mechanical Turk?

by Francis
(July 13, 2012)

If I wouldn’t have read about it I would have never thought to think of this word as disrespectful. It is true of course that people from Turkey are called “Turks” but the Mechanical Turk is a historic machine. It is like an expression of speech.

And only because on Mechanical Turk there are micro tasks which often are very simple, this does not mean in any way that it is a criticism against people from Turkey.

In my personal opinion, if you are offended by the word “Turk” or “Turker” this rather tells a lot about how you think.

Don’t you think?

Read what how my virtual assistant sees all this matter:

OK, it was quite surprising for me if the word “Turker” was derived from a Turk (people from Turkey) and it seems to be a little illogic that amazon easily associated all its workers as “Turks” and apparently this service is limited to only residents of the US.

I could not hold my curiosity too long and I researched for Turkers via internet. You know what I have found?

Read it yourself!

“The title comes from Wolfgang von Kempelen’s mechanical “Turk” in the 1700s, who was a master chess player dressed up as a wooden mannequin. Defeated many competitors throughout Europe, including Napoleon, the Turk usually sat inside a wooden cabinet wearing a robe and turban. Opening the door to reveal gears and springs inside, Kempelen fooled people into believing this was a mechanical device with artificial intelligence.”

Source: http://encyclopedia2.thefreedictionary.com/turker

Still I was not satisfied with my research and want to cross check and authenticate my results by doing another research. This time I found a pretty authentic source which has the same elaboration of the “Turk”.

Source: http://en.wikipedia.org/wiki/Amazon_Mechanical_Turk
Of course you can’t get an authentic source like Wikipedia to verify your results.

Jul 14, 2012 the good ole racism argument…
by: FrancisI cannot believe that the person who said “people from Turkey would be offended from the name Turker” really meant it.He probably wanted to use the old racism card that ends and wins all arguments.People from Turkey are not known for their freelancers. In my eyes, that discussion is purely for polarization and exaggeration sake.
Jun 12, 2014 Morally wrong
by: John
This kind of scenario is totally and morally wrong. Is it just because the levels of ‘cost of living’ is different, poor countries must be exposed into this kind of unfair situation? Some people just want to take advantage as long as it’s comfortable in their end.

People are uselessly wasting the time for pennies when they could do much better stuff

by Francis
(July 13,2012)

I was surprised to read this “argument” against Mechanical Turk.

People waste their time on the internet all the time.

Have you tried measuring your productivity?

I have!

I actually running a program in the background of my computer to measure my productivity and I can see which websites distract me.

Believe me, it’s not a pretty sight 😉

If anyone wants to get distracted and make some dollars on the site, I do not see how I would be in the right position to criticize them.

It is not like I come home from work and when I am really tired, say:

“Now I should get Productive. Now I should really work”

No. In general, people slump into the couch and turn on the TV.

Talk about being productive.

If being unproductive is the only thing Mechanical Turk has a problem with, then there really isn’t much of an issue.

There has to be laws against this sort of modern slavery on Mechanical Turk

A specific comment made me think really hard about outsourcing again. As you know I think you should respect some ethics in business when you do outsourcing.

There are three points of criticism against hard work like transcription on Mechanical Turk to very low prices, that had a point. At least partially.

  1. Say that they are children working on mechanical Turk.

For example, on the account of their parents. That would go against child labor laws. Wouldn’t it?

I personally don’t know if there is any possibility to prevent that. This could be a real problem for all online work because no one will be there to check on who is sitting behind your computer and clicking for money.

  1. There are minimum wage laws. Those laws were created specifically because people are willing to work for ridiculously low amounts of money.

I am aware that a person in India with a low wage gets less money than the people working for a minimum wage in a European or US country.

So is this unethical?

It’s a hard question.

People have different costs of living in different countries and although there is globalization everywhere, people are not in the same living conditions everywhere.

So my take on this is to:

  1. find out what the living conditions the country you outsource to are
  2. and then limit yourself to how far you will go down with the prices.

As an employer on Mechanical Turk, this is very much within your power and if you are a worker on Mechanical Turk, look and choose which sort of work you want to do.

Note that it is very much possible to limit jobs on Mechanical Turk to workers from the US only. There the risk is very low that someone will work for pennies an hour.

And in general, for example for writing HITs, I would recommend you do that. You will get probably the best results regarding the quality of the English language.

What about health dangers and safety laws when doing tedious computer work for very small amount of money?

It is true that you can hurt your hand or your eyes and also your back by the way, if you are sitting in front of the computer and do repetitive tasks without taking a break. It is also true that the Mechanical Turk system does nothing to prevent this.

Should there be a protection mechanism there or are we being over protective?

Is this argument just for the sake of discussion or is it a real issue that should be addressed?

by: Jomvie I think this kind of work just wanted some quantity and fast transaction of work. They don’t mind the quality of work as long as it is delivered and that’s one of the reasons maybe they offer a low paying task just to keep it rolling.

Do you believe in building bridges between different people based on mutual trust and respect? Do you think doing this will allow both sides to draw the maximum from each other, and reach a win win situation? Where you win, and the other person - like a virtual assistant -also wins? If you do believe this, like I do, I think we should meet :)
