Support Arrived – We Hired a Full Time Virtual Assistant from the Philippines

To bring you even more news, tips and articles about real-life experience of hiring virtual assistants, we invited Denise into our team. She will be starting her trial period for a position as a full time virtual assistant.

Please wish her luck, but to be honest I have a quite good feeling about her work 🙂

She is from the Philippines, and has great English skills. We hired her from a specialized service for full time VAs from the Philippines. Also look out for the diary posts from my VA’s side, because we will be adding the impressions of her work and daily experiences there also.

For me, I am excited to be able to “attack” more ideas and projects, since I have more inspirations than I have time to implement them. Time to close a few open loops and get more projects going.

As a nice side effect, we will be able to enjoy more opinions from the “virtual assistant point of view” with Denise on our team. She already started leaving some comments on some of my blog posts, where she adds insightful details from her point of view.

Some challenges in the first week of setting up the cooperation with this new full time assistant are

  • Supervising her work with a specialized screenshot recording software
  • Making sure every work day there is a daily update sent to my team

I am sure that if we can overcome these doable challenges, we are able to dive into a multitude of interesting new projects.

And my VA can make sure I don’t only start with these projects, but that I also finish them 🙂

The importance of daily updates

Denise proves to be a very motivated candidate for working as a full time virtual assistance.

One thing that is very crucial for work supervision are daily updates. The optimum is of course when you have screenshots of the work of your assistance.

That is an aspect that we still have trouble with. But I instructed my assistant to test a few screen recording solutions with Denise.

You need to be able to review the screen of your VA as he or she works. This might feel intimidating at first for the VA.

Your job as an employer is to take that fear and / or uneasiness off your assistant. Build some trust.

However, this information is not optional. In my opinion, it is mandatory to be able to manage the time of your VA effectively.

One example: my VA wrote a preface for an eBook for me. She researched information on how to do that. She poured in considerable amount of time into this task.

Even if the end result is really solid, it could perhaps been achieved with less time.

How? When you, as an employer, review the screenshots of your assistant from time to time, you can simply call them (or send them a voice message) whenever you see something that could be better or different.

This way, your assistant does not continue to use time (for which you are paying) in an effort to do something that you don’t want.

Record the screen from your assistant and you save time.

Don’t do it and you waste time and resources.

Using Skype or Emails to communicate with your assistant?

When possible, I try to put some time aside to Skype with my new full time VA, Denise.

When you are on the phone, it’s much easier to show you are human and to emphasize what is important to you.

It’s doable with voice recordings, too. But being able to go back and forth, perhaps making a joke to relax your assistant, helps a lot.

Believe me, your assistant will be very nervous when working with you at the beginning. Especially if it’s an assistant that is not very experienced.

So do invest some time into building a healthy working relationship with your assistant in Skype at the beginning.

Note: it is not always easy to Skype with your assistant.

  • Bad internet connections,
  • the time difference,
  • and most importantly the fact that many foreign assistants are self-conscious about their spoken English skills

will make it hard to get them on the phone.

But do try 🙂

Since English is not officially everyone’s mother tongue, and served as only our second language that we seldom use for casual talks, it gives off the uneasy and not so comfortable feeling when talking to someone who fluently speaks with it.But, if you are interacting day by day, it gets easier—you just have to get used to it.

How to Search for An Experienced Virtual Assistant with High English Skill Level

A friend of mine is looking for a virtual assistant with fluent English skills and who should be able to call prospects and negotiate business deals with them.

My assistant and I have been researching for him how to best post a job for advanced skill level virtual assistants.

Since we have lots of experiences hiring, for example data entry personnel, we expected as always lots of people applying into our job offer.

In the end, very few people applied to the job opening. And the people who did apply mostly failed our “Sunshine Test”.

Use the Correct Category to Post Your Job

After looking into the job opening which my virtual assistant created with the help of some voice recording input from my site, I discovered that he posted in the area of data entry persons.

Logically, mostly virtual assistants looking for data entry jobs, in other words very simple work, would be looking at the job offer. As a consequence, very little people would be fit to apply to our job offer.

The lesson learned for you, if you need to hire someone for a specific purpose make sure that you choose the right job offer category. It can make all the difference.

Reach Out to Suitable Prospects Manually

Another alternative to get more applicants looking at your job offer is to actively screen the market place and contact people who you think would fit your job offer and kindly invite them to apply. This is another task which I outsource to my virtual assistant and which he can do without any trouble.

Bottom Line

The hiring process is not always an easy one. Dependent on the job offer and the goal you’re looking for, you have to slightly and smartly adapt your hiring strategy. There is not one glove that fits all, but many general tips on how to hire a virtual assistant always apply.

by: DeniseSpeaking from a viewpoint of someone who utilizes the internet to look for an online job through websites like Odesk, Elance, and Onlinejobs.Ph, I agree with what you’ve said that in order to hire someone for a specific purpose, one must make sure to choose the right category. That is because when we are looking for a position, we usually check out only certain categories according to our skills. So if you’re looking for someone who’s good in English, you’ll usually find them under ‘English’ or ‘Writing’ instead of ‘Web Design’.Likewise, I also think you’re right about to getting more applicants by using filters and contacting people who you think would fit your job offer. This way too, you can be sure that those who will respond already have some of the skills and requirements that you want your future employee to have. In fact, this is the way I was hired! Another reason why I’m all for it. =D

Moreover, I believe that keywords and tags can be quite useful, too. You only have to add the keywords at the end of your job post. Try it out the next time you’re on the lookout for a prospective employer. It’ll work wonders!

Work Output of an Effective Virtual Assistant

With the right skill level and training, an assistant is able to provide a tremendous amount of work and results in a short amount of time.

Let’s take an example:

My Virtual Assistant logged 2,5 hours of time today, using the time recording software of a popular outsourcing service.

There, he listed what he managed to do in this amount of time.

    1. He researched, downloaded and inserted free stock photos in my content pages
    2. He fine-tuned an existing job opening and pre-screened the candidates that applied to this online job offer
    3. He transcribed an audio recording of 320 words and sent it via email to the proper recipient
    4. He earned credits on a website for online survey answers, which is essentially data entry work

All of that in 2,5 hours. No distractions, no procrastination.

If you can work that fast yourself, and can afford to invest the time to do so, then you don’t need a VA.

But if you can make use of the extra free time, and a virtual assistant is more effective than you, then you should get started with outsourcing.

Phew! I just tried to work a bit on re-organizing the design of my sites.

Looks like I lost the habit of working on my sites myself. Why?

My virtual assistant implements my wishes and video instructions so perfectly, that all work gets done overnight.

But as a side effect, the work he does looks effortless.

Figures that his webmaster duties are not as easy as I imagine somehow. That’s what inspired me to remind you all to do the work of your VAs from time to time.

I am positive that he has surpassed my skill level using SBIs tools by far.The most important thing if you’re in a situation where your virtual assistant knows these stuff than you is that you still understand enough so that you can take care of your business even when your virtual assistant is not there.

One lesson that is important to remember is that you ask your virtual assistants to write down his lessons learned from time to time. It can be in a format of teaching materials or a step by step instruction. This is especially useful if, like me, you have more than one virtual assistant. In this case, you will want to have one virtual assistant relay his learnings to the other.

Interview Transcribed and Presented into the Form of a Blog Post with the Help of My Virtual Assistants

Phew! It has been a long ride and lots and lots of work. I don’t take any credit because my virtual assistants did all the hard work.

A 5-hour Skype conversation has resulted in the transcription of over 20 content pages for this website. The first parts to see the light of day, so to speak, are the three parts of the interview with Stefan about the cost of living in Thailand.

How Was This Possible and What Did I Do?

First, I recorded the Skype interview after getting the approval of Stefan, of course, using Pamela for Skype. Then, I shared the audio file via Dropbox with my virtual assistant. He then managed the transcription with my transcriptionist from my team who took a lot of time to produce even more content.

I’m telling a lot time but she actually was very time efficient and I would never ever be able to type up this amount of content by hand. That’s just how much more efficient voice transcription can be to one of them.

Afterwards, my virtual assistant sliced and diced the over 50 pages long word file from the transcript into subsections which made sense. After all you want the interview to be readable.

Don’t you?

That’s not all. He also did research keyword research, mild search engine optimization, so that the interview can be found on Google easily and also illustrated the interview.

It is much more than one big unreadable chunk of text file. In my opinion, it looks really nice.

I Highly Recommend VLC media player for transcription work. I am using it for a long time and it has some amazing features such as:

    1. It supports many audio file types and extensions.

 

  • It’s very easy to operate, and the best part is that you can use your keyboard keys in order to master it. For instance, you can play and pause it with just a space-bar press and also rewind and forward it with shift+arrow keys.

 

  • Another core benefit of using VLC media player is that you can adjust the playback speed of the audio. So if you are transcribing someone who is really speaking fast, then with this feature, you can turn down the speed to a lower scale in order to understand it better.

I didn’t know (oh, well, I just did!) that VLC media player could turn into a tool that virtual assistants must have..

I actually have it to watch my movies with and this player has much better sound than windows media player.

These last days my normal day job keeps me extremely busy. You know this feeling when you barely get to sleep after work and nothing else.

It’s times like these you wish you could escape the job rat race.

And it’s the last call to get yourself great teamwork established with a virtual assistant.

In my case a few video instructions per week are sufficient to keep my assistant going.

And they don’t take long.

Outsourcing services legally: Mind any Confidentiality Agreement!

When you outsource services to others using your virtual assistants, the other party (your client) should know about you outsourcing the job.

That’s because often, there is a real (or implied) confidentiality agreement (also called non disclosure agreement) between you and your client.

In other words, your client only trusts his information with you. Not with your team of VAs.

So the only solution if you want to avoid hassle like hiding the IP of your VA, and other less-than-moral methods…

You have to be crystal clear about your terms and your assistants working for you.

Breaking any confidentiality agreement will come back bite you (or even lead to serious legal troubles).

Personally, I was a bit naive about this issue in the recent past. Now, I’ll try to set things right.

If I am able to get an agreement of using my VA in a service, then all is good.

If not, then I will have to pass an otherwise very lucrative business opportunity.

But it’s always better to cover your bases first.

Second Interview with my friend and entrepreneur on its way

Some time ago I interviewed a German friend called Stefan via Skype. This interview went over an hour and was transcribed, summarized and posted here.

Perhaps it is because he went out to leave the conventional work rhythm and live a four hour work week; fact is his interview is rather popular here on this site.

Now I had a second interview with him! It was even more intense and long and we discussed all facets of training your virtual assistant to be more self motivated.

That is his -and he is not alone- main concern when working with virtual assistants.

Look forward to another great interview. We are still compiling and presenting it from a big transcript file.

Most of the content on this site is about outsourcing your life and freeing up your time by hiring virtual assistants.

This is all well and good, but did you actually plan on what you will do when you successfully outsourced most of your tasks? Do you have a plan on what to do with all your freed time?

Recently, we posted a big interview with Stefan who lives the 4-hour work week in Thailand. When you are ready to move to a Caribbean island or leave the office work behind, do you actually know what to do with all your free time?

A Luxurious Problem

Having too much free time can be a problem in itself. Now that you are busy with your everyday’s work, you might laugh at this comment. But if you actually have lots of free time at your hand while all your friends are working, then you need to seriously think about what to do with all those free time.
Do you have;

  • Projects
  • Hobbies
  • Interests
  • Skills to learn
  • People to meet
  • Locations to visit

If you haven’t thought of this, do so, even before you start outsourcing seriously. When you are at the point that you consider hiring someone full time, then you should also think about what to do with your newly gained free time.

Double Your Productivity by Working in Your Free Time

If your virtual assistant is working for you and giving you great results, then a great way to double your productivity is to not slack off with the freed up time your assistant worked hard to give you. When you take the freed up time and put in some more additional work for your own projects then you can double your efficiency.

A great project to start on that you can do even while you are travelling is to start your own website or online business. This online business can result in additional income, which can free up your time even more, if you reinvest it into outsourcing.

Don’t Go Overboard Hiring Virtual Assistants Is Hard Work Too

If you start working with virtual assistants, you will see that managing them, coming up with new work for them and giving them constant feedback, which is really recommended for efficient use of a virtual assistant, will take a lot of your time. You can speed this up, of course, by using video instructions and all the other tips I share on my website.

But in the end, managing a full time assistant team will take you probably about half an hour a day if you’re serious about it and if you have many projects at once to manage. That’s the time it takes me.

But what to do with the other 7 and half hours that are saved from your day job not to count the time you must need to commute normally.

My Own Ideas for Filling the Time in the 4-Hour Work Week
by: FrancisLet me share with you what my own ideas are if I wouldn’t have to do a day job which I still am doing and enjoyed doing. I would seriously take up a martial art and invest lots of time in it. I would meditate regularly.

I would learn lots of skills in the area of social interactions, management and team leading skills. I would love to play more Ping-Pong or, perhaps Tennis.

If I had so much time on my hands, I would probably take up drawing or creative writing. Perhaps, even write a book which is not related to online businesses.

And of course, I still have my at least a thousand ideas all the time about what online business to start in the future.

I hope my lifetime and the lifetime of my assistant will be enough to finish all the ideas I have in my head 🙂
