What Favicon Should I Choose for My Website? Can I Outsource This Decision?

by Francis
(June 28,2012.)

Sometimes challenges are so small that you even don’t want to bother taking them on. I had to make a minor very small decision, but still the branding of my website was in question.

My VA setting up favicon for my website

I needed to choose a favicon that’s a little image you see in your browser bar right next to the name of the website and I needed to format and uploaded it to my site.

Check out this other post to see what went wrong with it and how I handled it.

I remembered how I did my first favicon by hand. It took quite a while and it was boring work and it didn’t really change much.

Though it was a perfect condition to outsource this working step. I had my instructions to how to do this lying out already. So I just sent them to my virtual assistant for reading. I also wanted his opinion on which symbol could best represent my site.

From a list of stock photos, I asked him to research and download one for me. He quickly proposed one photo as a favicon. By the way, my virtual assistant and I came up with a great little tactic to virtually get unlimited amounts of great high quality stock photos with a little work around and by outsourcing the steps in between.

My Virtual Assistant creating a favicon for my website

I will let you know when I will have a written post about it.

Great! My assistant chose the perfect favicon for my website. I just had a little problem with it. Perhaps you know it that stock photos must be attributed to the photographer so that nobody easily able to steal his work.

But a very small favicon does not have the place to write an attribution description to it and so I was stuck.

Could I use that photo or not?

It would have stayed like that if my virtual assistant was not pro-active and motivated and he did some work behind my back which made me really happy.

He went on to contact the stock photo customer services center and nicely asked if it would be possible to use a stock photo as a favicon without crediting the attribution details.

Soon the customer support replied and gave the exact conditions under which circumstances and on which pixel size the picture could be used.

Result:

No hassle, stress free, high quality favicon creation with all the little steps between outsourced to my virtual assistant.

I would be lying if I wouldn’t think that this was pretty elegant.

I know what you are thinking now!

So much trouble about a favicon?

Well! It might only be one little icon to you but it was one item on my to-do list for me as a website owner and it had to be done one day or another.

Thanks to my assistant. It got done much earlier than if I would have done it myself and that should be worth something or not?

I am looking forward to see your comments on this post.

I am sure it’s interesting to read about the web business from the perspective of the employer (me) and virtual assistant at the same time! 🙂

by: JomvieI usually have problems with what images/pictures will I use for my articles. Apart from copyrights, the quality of images is my main problem. Stockphoto, getty, etc… are the only ones with great quality photos. Will check and try this out.

What Happens if Your Virtual Assistant Makes a Mistake when Handling Your Web Business?

by Francis
(June 28,2012.)

It has taken many months of consistently excellent work and many moments where his work has always made me happy, but today it has happened.

My virtual assistant did a mistake. It’s about time, I thought. When I saw his email, I was worried a little bit if he might not be some sort of robot that always does everything right.

Just joking 🙂

But seriously, I outsourced a very very small task to him and was expecting that it would go smoothly as always.

If you are a Sitesell SBI website owner, you can easily create a little icon for the browser bar which is called a Favicon using Sitesell’s included module “Fav it!”

screenshot showing sitesell's Fav It module

I have done it for my first website but it was years ago. I remembered how I created the favicon in PowerPoint, exported it with a screenshot into paint and then somehow created with another free graphics software this favicon.

In principle, I know how to do this. For this new site ideal-helper.com, I wanted to outsource this very small task. Unfortunately, my virtual assistant mistook both sites and uploaded the new favicon for ideal-helper to my old website which has nothing do with virtual assistants.

He did two good things.

  1. First of all he informed me immediately and proposed how to remedy the situation.
  2. And 2nd of all he didn’t make it worse

Take home lesson:

Always Remember! Your virtual assistants are also people. They are humans like you and I, and we all make mistakes more than we would probably care to admit.

So when your virtual assistant does a mistake, cut him some slack!

If he does great work all the time, it doesn’t really matter if he does a mistake sometimes.

Dear Readers!

I would like to hear your opinion about this. If you have hired a virtual assistant and he would make a big mistake when doing some work for you or even a small mistake like the one explained in this post, how would you react?

And if you are a freelancer yourself, how would you like your employer to react?

Feel free to write your ideas into the comments.

Oct 22, 2012 Everybody Makes Mistakes
by: Maria B.Every human being in this world can still commit mistakes even if he has done something over a million times before. If it happens that I make a mistake/s with my output or if the client is not satisfied with my work, I would ask him to specify the areas he wants me to change, improve, develop or enhance.

That way, we can work back on the same page again and be able to make ends meet.

by: KittycatMaking a mistake myself I’m more than happy, when people don’t trample on me additionally. I always feel bad about mistakes, so this is punishment enough. 😛
Jun 11, 2014 An earthling after all
by: JomvieWell, as a VA myself, I do mistakes—sometimes. We’re an earthling bound to sin 😉 Considering his mistake, I think it’s reversible—there’s always a solution.

Promoting my website to web directories and social bookmarking sites. Was it worth it?

by Francis

website-social-bookmarking-case-studyMany of my very first attempts at Fiverr were geared to search engine optimization at that time. I wanted to boost the ranking of another site I had and – at that time – submitting to social bookmarking sites was a valid strategy.

Word of Warning:

Now, in 2012, this strategy is not valid anymore. Although it was useful before, nowdays I would not recommend outsourcing social bookmarking without a good action plan.

That said: I had bought at least eight different Gigs (5$ each) from different people promising me to promote my website to high page rank (do-follow) social bookmarking sites.

Some of them were very professional, asked me for information about my website and even created reports in Word and Excel for me to review.

In a few cases I had to ask follow up questions to get the results I wanted.

In one case, a backlink in the report did not work out. Luckily I double-checked the results.

Tip to you:

You never should just take outsourced results at face value. Always double-check. This way you will be able to turn it around before you are screwed over.

Anyways, in one case a link was defect. I asked for justification directly before I left my feedback on Fiverr. The person who did the Gig wanted to have a good feedback and did not want me to screw up his average feedback by giving a negative one.
He went out of his way and did several new links which all worked fine.

Communication, as always, was the key.

Can I say it was worth spending those $ 40?

I am not entirely sure.

In the past it was a valid strategy and my traffic took off at that time. Now the traffic is back to levels as if I didn’t have done those Gigs on Fiver.

Today I could say it wasn’t worth it, but obviously at that time I could not know about the changes in the Search Engine Optimization strategy.

So when you outsource anything, think about if it holds value for you in the future, one year from now. What will you gain from spending $5?

Five dollars alone does not seem much, but five dollars several times can add up pretty quickly.

Would you outsource you social bookmarking efforts or do you think you should do them alone?

Personally I think it’s pretty tedious work. So I liked to outsource it in the past. But I’d love to read your ideas about this in the comments!

Was it worth $40 and what could I have done with it?

by Francis

business-woman-working-ideaThinking about my experiments, I was just playing around with Fiverr. I was so attached by getting things done overnight and in few hours even that I literally forgot about hard numbers.

Honestly If I wouldn’t have been so enthusiastic about it, I would not have spent all that money. If I am thinking about it, I could just easily hire someone intelligent and eager to work on oDesk.

Pay him between $1-$2 an hour, teach him everything about social bookmarking within two hours and then have him work for twenty to forty hours depending on his payment.

I am sure he would have gotten many things done by that time that I have outsourced to Fiverr. More importantly I could use this service repeatedly in the future.

So it’s all up to you. If you want one trustworthy assistant, hire him and take your time to screen and train him. If you want to play around and want fast results, then I guess Fiverr is a real alternative.

Jun 11, 2014 Diamond turned stone
by: Francis Search of good quality on the internet is a bit hard since the internet world constantly evolves. And often, reviews are not reliable or accurate. I totally agree when you said that always do a background check before you entrust your work to someone else—to achieve the long lasting quality you’ve always wanted.

The Wall Street Journal Discusses the Pros and Cons of Using a Virtual Assistant

by Francis
(March 05, 2012)

Here is a very professionally made video from the Wall Street Journal discussing

  • what using a virtual assistant is all about
  • and what pitfalls there are.

I enjoyed watching it and it inspired me to write this blog post. Watch it now here:

What Can Virtual Assistants Do?

They can do many things – the important part is that it should be some tasks that are doable online. Since a virtual assistant is – as the name says – “virtual”, he can only help you with stuff that is not physically at your place.

  • Helping with admin tasks on your blog is one widely used opportunity.
  • Selecting an insurance plan is an example that was mentioned in the video
  • I would be extremely careful when outsourcing stuff that involves your credit card, your personal health or any other major life decisions.
  • You can get help by having your VA research different opportunities of for example what insurance plan you can have. The final choice is something you should make yourself.
  • Another good idea is having a virtual assistant shop for clothes for you.

I found this last idea pretty interesting – if you’ve got a virtual assistant that is working together with you in a very close way.

For once you’ve got to communicate your sizes to him. I can imagine many people not being comfortable with that.

But if you are comfortable with this and if you are comfortable with sharing your amazon account information (for example) with your VA, then this is something which can be possible.

Please be also sure to check out our blog post about sharing credit card information with your virtual assistant

There Are Many Different Outsourcing Services You Can Use

Check out the list of services in the video. The service I am using is oDesk.

I know of many other services like Fiverr and Mechanical Turk. Many other services including subscription based services are not the most economical choice in my opinion.

The best value for your money from my experience is when you pay for exactly the amount of work you get done.

The danger with subscription based services is, that perhaps after some time you don’t have any work to do for a VA or a team of virtual assistant. Then the money for subscription goes away for nothing.

How to Effectively Communicate with Your Worldwide Virtual Assistants

Something you’ve to be aware of when you get started with outsourcing is that you will have to deal with people from all around the world.

This can be very charming as cultural differences always expand your own horizons.

On the other hand, there will be cultural and language barriers. No matter if other people tell you there won’t be, its natural there are barriers. But you can overcome them.

One skill you’ve to master when managing your VAs is to communicate effectively. I like to use voice recordings and videos recordings for my communication.

When you give instructions to your VA, be sure to be extremely precise in your communication. The more precise you are, the fewer mistakes you have to cleanup later.

A nice side-effect of working with a virtual assistant is that it trains you sub-consciously to express yourself efficiently and thoroughly.

Because you have to think through if your instructions might have bad consequences for your business, this gives you another skill set right while saving time working with a virtual assistant.

Pitfalls and disadvantages of outsourcing to VAs

In the video from the Wall Street Journal, three big pitfalls were mentioned.

1. Don’t hire someone from their face alone

To be honest I had to laugh on this idea, but it is only human that when you check out different profiles from virtual assistants, you’ll get drawn to those people who might have a gentle face or simply attractive people. But you’re not looking for a mate, you are looking for a work partner and like in all working relationships you’ve got to be objective and logical in your decision.

So don’t look on how the person presents themselves, look for the little clues in their profiles. Do they have a lot of spelling mistakes? If so… this gives you information about their English skills in general.

Do they have a portfolio of previous work? From that portfolio, you are able to conclude the real skills of the virtual assistant.

2. Challenge your first choice

A very good idea to find the ideal assistant for you is to hire two or even three assistants for the very same tasks, at the beginning.

Then, screen them for the best work results. By the way, this is what we did here for several assistants for different tasks.

I can highly recommend this method to find your ideal assistant.

3. Problems of language barriers and misunderstood skill sets

I mentioned the language barrier earlier in this post, but sometimes a virtual assistant paints himself in a better light than what he really is capable of. You always have to test whether your assistant possesses the skills he is telling you that he has.

Like in many job applications, an applicant will paint himself in the best light possible.

A Very Easy Way to Test Their English skill Levels

Before you even hire a virtual assistant from whom you think his English knowledge is crucial for your business, here is a simple test you can do in a few minutes:

Call them on Skype

Don’t tell them this beforehand, do this spontaneously while you exchange emails.

Say something like:

“Hey! How about we have a five minute conversation on Skype?”

What happens then will tell you a lot of things:

  • Is the person is web savvy enough to have Skype installed?
  • Do they have a working headset and a stable internet connection that allows him to have a Skype call?
  • Do they have serious English skill levels to maintain a conversation?

Simply asking for a 5 minute Skype call will answer all of these questions for you, and more.

The Bottom Line and Most Important Lesson When Working with a Virtual Assistant

Virtual assistants may be ‘virtual’ to you, but they are real people with real feelings. The most important lesson you have to take away from the video is to treat them with mutual respect.

If you treat them like little helping elves that magically do your work for you and don’t deserve a word of thanks, don’t be surprised if they leave you or if there work quality diminishes.

If, on the other hand, you take the time to be polite with them, to stay in touch with them, and or to give them bonuses from time to time, you will be surprised on how much of a faithful and highly motivated helper you’ll get at your hands.

Share Your Thoughts!

I hope this video has inspired you as much as it has me. I’d love to hear your comments, critical questions or thoughts in the comments below.

Why I Outsource To oDesk

Learn how to outsource to oDeskWhy do I use and why I am sticking with Odesk?

I originally found this site by researching different outsourcing services. Although there are many similar services, in my opinion and 3 year long personal experience, Odesk is the best and biggest. Therefore you’ll find many people to work with there for hire.

There is an advantage and disadvantage of using this service:

  • The good thing is that you can chose very different people and you have chances to meet new and possibly very productive partners.
  • The bad side is there are many newbies and you have to get some experience under your belt in using Odesk in order to use it effectively.

But I can teach you to use this service effectively to get only the advantages while not being held back by the disadvantages for employers.

Another great reason for using Odesk in comparison to other outsourcing services.

is its effective payment method. Other services often ask for an upfront payment which obviously protects the providers from some spam employers who just signed up, get their work done and then simply disappear without paying a single penny

Free Signup and Effective and Secure Payment Systems

Odesk Payment System is 100% Secured

My reason number one to be interested in this particual outsourcing service:

Odesk is free to sign up.

Of course, you are going to pay something, but it’ll only be for the work you’ll have gotten done by others.

  • What you’ll have to do before hiring new people is to verify your credit card.
  • You can also setup a backup payment method with another credit card which ensures that if something goes wrong with one bank, your provider can still be paid for his work by the other source, protecting your reputation as an employer.
  • Or you can simply pay via Paypal!

These security mechanisms are always for the advantage of everyone, employer and provider.

The providers want employers to pay them on time. Actually, if your payment system does run out of credits, all your contracts are suspended temporarily and your providers cannot logged into hours for you.

Imagine how low the work morals would be if the virtual assistants wouldn’t know for sure if they would ever get paid!

Secure payments establish a deep level of trust which is important if you want to hire good people. If you go to a service which does not provide any assurance chances are high that you will get someone desperate who will not deliver quality work!

Guaranteed work for your money

As an employer you ONLY PAY very specifically for good work being done.

Good work means that if a person works on your subject or on your project, he is entitled to earn the money. Your responsibilities as an employer are

Work diary of a virtual assistant
  1. to look after the work of your providers
  2. and to give him pointers on how to continue to work in regular intervals
  3. or to stop him if he does not do good work.

You cannot protest against Odesk if you hire someone, he works for you and then end result is unsatisfactory.

You always have had a chance to look at his work diary and screenshots while he was working!

It is one of their prime features that they track the worked time using a time tracking software, which is part of the comprehensive Odesk team application.

  1. It not only records the activity of your provider with random screenshots of his work…
  2. It also reports the keyboard and mouse activity of your provider.
  3. And if your provider has a webcam then it also captures live photos of your provider while he is working!

It is quite funny if you see three screenshots of your provider working on his computer and in the forth snapshot you see an empty chair…!

From my personal experience, very rarely providers had their personal webcam up and running while they were working. And even if they have webcam screenshots, it was not really very interesting to look at them: I mean, you see their faces – which is nice and nothing too personal to look at – but the face of someone sitting on the computer and working hard is not especially interactive.

The Team Room is Essential

The time tracked screenshots from your providers are essential!

I made it a habit to regularly look at their work diaries.

Seriously, review the work they are doing.

If you see if they are idling their login time or chatting on Facebook, you can protest against this part of their work diary (1 screenshot reflects the activity for 10 minutes) and you can ask them to delete such tracking time from their work diaries.

If they refused to do so you can also file a dispute to the Odesk office team. Since you have screenshot proofs that they are not working in the disputed hours, chances are high that you will win that dispute.

Personally, I never had to file a dispute in over 3 years. Most virtual assistants are very eager to not upset their employer – you.

So this is the guarantee that is made to both sides: If the provider does work related to the project, he is guaranteed to be paid.

Odesk will ensure to automatically deduct the money from employer’s credit card and pay to the provider. But if the provider does bad work or a completely irrelevant task, this of course is not acceptable. Here you have enough time to review his work diary before he gets paid and here you as an employer are protected.

oDesk payment schedule

I think this type of guarantee that made me trust in Odesk in the first place. The most important reason I stayed with it was just that I have found what I wanted.

  1. I found a good platform for providers and employers
  2. and I found very different talent for providers and personal assistants to work for me
  3. and I am happy with the payment system.

So where is the catch?

This service of course is not absolutely free.

It charges 10% of the whole payment which you pay to your providers.

If you pay somebody $2 per hour you are actually charged with $2.22 per hour – including a $0.22 fee. This can sum up to some quite amount of money.

However, if another service has a $50 cost for getting started, in comparison you only would have that sort of costs if you had invested 500$ into Odesk. That’s why I started with this service and have not looked back ever since.

Fixed vs Hourly Contracts?

At Odesk.com there are two kinds of contracts.

  1. Fixed price contracts
  2. Hourly contracts

Both have advantages and disadvantages, but in most cases you should choose hourly jobs on Odesk.

An important advantage of hiring few people long term at an hourly rate it that time spent for virtual assistant training is less than for multiple short term employees.

Hiring Virtual Assistans Like a Pro

Steve Jobs' famous quotation

Some providers just send recycled, copy pasted, standard applications to hundreds of employers. Of course they should not do that.

We’ll show you the best procedure of hiring a virtual assistant.

As an employer you should always look out for unique and interesting applications where you can see that they actually read the job description thoroughly.

The key lies in effectively writing a job description that saves you time and gets your work done.

This will attract lots of potential workers (providers). How do you choose the best one?

Make sure to have a good look at their feedback score!

In the beginning it is really nice setting up the interviews if you have all the information at one place at Odesk. Later on, when you actually start working, I prefer to use my personal email account to write back and forth, using chats and voicemails.

I found that using voicemails in particular are the most effective way to manage my virtual assistant’s jobs.

This always has proved much more effective than logging into Odesk for messaging every time. Still, you also get notified by email if you get any new messages.

Bottom Line?

All in all, Odesk provides you

  • all sorts of analytics, e.g. how much time was spent on which tasks,
  • security of payment and work
  • and you have virtual work place.

There, you can see your entire team, if you don’t hire only one person but different providers for different tasks. You can see them working in real time together and you have a messaging system where you can message everyone back and forth.

Click here to sign up and use this service.

What is outsourcing?
Why is it useful to you?

My History of Outsourcing

defining outsourcing processWhat is outsourcing to me, personally?

  1. A fun hobby
  2. A useful and effective method to leverage my time
  3. A way to accelerate my business and projects

It has been more than 3 years that I actively work with virtual assistants and outsource online jobs.

Read about the History of Outsourcing in a nutshell and my background with outsourcing.

Definition of outsourcing

Depending on if you are a private employer, a provider (or employee) or a big corporation, there are different ways to define outsourcing.

My answer to the question “What is outsourcing?” in a nutshell:

  • Outsourcing is relaying a specific task to someone else via internet, one who is able to do the work faster and more efficient than you.
  • Your valuable time is freed by outsourcing time-intensive and/or repetitive tasks, allowing you to use it more effectively: to make more money or to enjoy freedom from stress.
  • The most expensive commodity you can have is time. Outsourcing is a way to “buy free time”.

Two things made outsourcing possible:

  1. High speed internet, connecting the world’s communication
  2. Globalization, which makes it possible to livein the US, but hire someone from India or other countries at local wages.

Pros

It’s clear that there are many advantages of outsourcing tedious work so that you are free to do other things.
  • Everything that can be done on the computer can be outsourced.
  • You gain more free time
  • You still get more done
  • Committing to a VA will make you focus harder on getting results
  • If you are too lazy to type instructions, you can dictate and record voicemails.
  • For a balanced discussions of the pros and cons of outsourcing head over to this post.

Cons

I’ll be honest with you: outsourcing is useful for many, not only bosses of big corporations. But it is not for everyone. There are some disadvantages of outsourcing  that you should be warned from.
  • You should be prepared to deal with people from other countries. There can be issues of language barriers and cultural differences.
  • You need to closely examine all aspects of outsourcingethically,in order to keep a clear conscience. It’s easy to take the low prices of most freelancers in poorer countries for granted.
  • You cannot outsource everything. Although you can get close, like the author Tim Ferris in his famous book about his Four Hour Work Week.

It is not about taking your job away!

Note that I am not talking about offshoring, i.e. taking jobs away from anyone here on
ideal-helper.com. I honestly believe that most normal, non-entrepreneur individuals could greatly profit from a personal assistant at their side.

If your boss in the US decides to introduce call center offshore outsourcing to his firm, this is another completely
different discussion.

Want to try out the waters without risks?

lee Kaun Yew's famous quotation about outsourcing

There is one big platform that allows you to “play around” with
outsourcing small and often fun tasks to other people is fiverr.com.

It is one of the first sites that allows you to let others
work for you on specific tasks – for the small price of five dollars (hence the
name “fiverr”).

What is outsourcing 101 for beginners? Most probably Fiverr.

You may be a simple employee right now. But you can be your own boss now,
if you want to.

What is outsourcing from the perspective of a freelancer?

You can use your day to day skills as a provider or employer. What may seem very simple to you may be invaluable to someone else.

  • Perhaps you are an expert of making videos and you do that for fun or as a hobby.Oryou have mastered how to render, analyze and optimize photos and can do
    this “in your sleep”.
  • The possibilities are only limited by your skills

Do you think you can outsource your skills?

Your motto as a successful freelancer should be:

“I am doing this service for you. If I don’t successfully do your work, you will get your money back. I will only get paid for good work.”

Everyone can participate in the outsourcing world!

For example:

Do you go hiking every weekend and you know everything of “your forest”? Do you think your knowledge would be useful for someone else?

I am sure it could be. And if you don’t find anyone who needs this knowledge directly around you, you can start and create your own website business about your everyday knowledge.

This is exactly what I did here on ideal-helper.com.

You can also voice out your opinion and experiences to a writer, a website owner or a blogger and get paid for your insights.

You wouldn’t believe what simple stuff you can do for an employer.

Go ahead and laugh when you see what was my first assignment when I started outsourcing to oDesk. To my defense, I am not really a web savvy at that time.

Think about it. There are people out there doing Data Entry jobs full time. You can bet that they are Excel, Word and office wizards.

You don’t want to invest the same
time into mastering a data entry skill if you can cheaply hire someone who has
already done so – and is burning to start working for you.

If you need some hard numbers…

There are some interesting outsourcing statistics out there. What is even more interesting to me personally is that there are more down-to-earth facts.

I interviewed some freelancers all around the world and discussed personal questions with them. This gave me interesting insights into their answer to the question “What is outsourcing?” that sometimes you will see that there are really differences apart from what you would expect. It was interesting to get a look “behind the curtains” of every different countries.

Especially, the comparison of the costs of living from different countries is always an eye-opener.
